As an organisation that has chosen to hold personal data, we have a legal responsibility to treat the data with respect and hold the data securely.

By joining BCAA, or purchasing one of our, day/night tickets you are giving us permission to process the information specifically for the purposes identified within this document. The personal information we collect and use
When you purchase a membership from the Membership Secretary, day/night ticket via Clubmate online, your name, address, email and contact number(s) will be stored in our Membership Database. If you purchase a day/night ticket or through one of our shop agents, your name and post code will be stored on the ticket stub.
We do not share your personal details with any other organisation or company.
The type of personal information we collect
Membership forms – These are held as hard copies and electronic copies dependent on how each are purchased. Hard copies are currently held by the Membership Secretary. Electronic copies are currently held on the Association’s Clubmate Administration System.
The fully completed hard copy membership form holds the following information:
- Members name
- Members address
- Type of membership
- Email Address
- Contact Telephone Number
The fully completed electronic copy membership form holds the following information:
- Members name
- Members address
- Members email address
- Type of membership
- Contact Telephone Number
DOB for Junior members [under the age of 17 years old]
Why do we hold personal data
Members name – To enable us to address the member correctly.
Members address – To enable us to contact the member by post for the purpose of sending them newsletters and updates.
Members telephone number – To enable us to quickly contact our members
Members e-mail address – To enable us to contact our members. For administrative purposes and to allow easy identification of a member
Type of membership – We have various categories of membership which attract different price points. We need to ensure that the member is in the correct category.
Juniors DOB – to ensure they progress correctly through to senior membership for the appropriate membership fees.
Information Management
Cookies
Cookies can help improve the user experience. We use Google Analytics to show us how visitors are using the site and this information is used to improve the navigation, layout and content. Access to data is restricted to a limited number of people and will only be used for the purpose of improving the website. The information gathered does not identify individual users and we do not share this information with anyone else (other than for the purposes already mentioned) unless we are legally required to do so.
Membership Database
The Membership Database is maintained by the Club Membership Secretary, stored on Clubmates Administrative system with password protection, and is backed up periodically for recovery purposes. The backup copies are password protected and kept secure. Past members entries will remain on database for not more than two years.
Day / Night Tickets
The Day/Night Ticket Stubs are securely stored by the Club Treasurer. The stubs are stored for audit purposes.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
